An activity hard to coordinate manually
At the start, many operations still depended on human intervention:
- bookings arrived by phone or message;
- schedules and routes were prepared manually;
- assigning and communicating with drivers required many exchanges;
- attendance, absences, and changes were handled case by case.
This way of working can be enough with a few trips. It quickly becomes fragile when recurring bookings, school timetables, exceptions, and last-minute changes pile up.
Turning business rules into workflows
We developed the platform around Family Cabs’ real operations, evolving the system with feedback from parents, schools, drivers, and internal teams.
The platform handled:
- recurring and one-off bookings;
- trip planning;
- creating and validating routes;
- driver assignment;
- mission tracking;
- price calculation;
- billing preparation;
- attendance and absence tracking.
Each piece of information was reused in later steps. A booking did not stay an isolated line: it became part of the schedule, the route, the driver’s work, and billing.
Managing operations in real time
School transport involves many unexpected events: a child absent, a timetable change, a driver swap, a delay, or a route adjustment.
The system let the operations team keep a real-time view and update activity from a central point.
Drivers had their missions and the information needed to carry them out. Teams could monitor progress, handle changes, and keep information consistent for different users.
A platform built with the company
Family Cabs was not a fixed project delivered and then abandoned. The product and the company grew together.
We covered the full cycle: understanding needs, design, development, deployment, production support, onboarding, and continuous improvement. The system evolved with field constraints and a lean team.
The impact
The transformation made it possible to:
- run the entire activity from a central platform;
- grow without multiplying manual tasks in proportion;
- give teams real-time visibility;
- reduce coordination by phone and messages;
- make processes more repeatable;
- support a profitable activity over several years.
What this project demonstrates
Family Cabs shows that automation is not always about connecting two existing tools.
In some companies, you need to build a real business operating system: a place where data, rules, decisions, and actions come together.
That experience now helps us understand both the technical constraints and the reality of a founder who has to run, improve, and grow the company.
