Connecting requesters, dispatchers, and drivers in one workflow

Vehicle transport involves a sequence of actions carried out by several people: receiving a request, checking information, choosing a driver, organizing pickup, tracking the move, documenting the vehicle’s condition, and confirming delivery.

At Auto4Move, these steps previously relied on calls, emails, and messaging apps. Driver assignment was manual, photos and proof were scattered, and teams had little visibility on missions in progress.

We designed a system that brings this entire operational chain together.

The initial process

A mission could start in one channel and continue across several others:

  • the request arrived by phone, email, or messaging;
  • a dispatcher manually searched for an available driver;
  • instructions were communicated separately;
  • photos and documents came back through different channels;
  • the real status of the mission remained hard to follow;
  • final validation depended on manually gathering the proof.

The main problem was not a lack of information. It was the absence of a shared workflow connecting every person involved.

The operational platform

We developed a web platform for dispatch teams and a mobile app used by drivers in the field.

From the dashboard, teams can:

  • receive and organize transport requests;
  • assign a mission to a driver;
  • track its progress;
  • view useful location and status data;
  • control pickups and deliveries;
  • centralize photos, signatures, and documents;
  • handle exceptions from a single place.

Guiding work in the field

The mobile app does more than display a list of missions. It guides the driver through the expected steps.

The workflow covers, in particular:

  • reviewing the mission;
  • activating location tracking;
  • arriving at the pickup location;
  • checking the vehicle;
  • collecting the required information and photos;
  • reporting damage;
  • collecting a signature;
  • updating the status;
  • confirming delivery.

Each step automatically feeds the dashboard. Teams no longer have to reconstruct a mission’s story from messages and attachments.

From the field to production

The solution was designed, tested with real drivers, then deployed in production.

Field testing made it possible to adjust journeys, geolocation, and checks to real conditions of use. That phase was essential: operational automation has to work for people who use it while moving, under time pressure, and sometimes with limited connectivity.

The impact

The platform made it possible to:

  • centralize requests and assignments;
  • make mission progress visible;
  • structure drivers’ work;
  • attach photos and signatures to the right mission;
  • make pickup and delivery validation easier;
  • reduce dependence on individual calls and messages.

What this project demonstrates
