Turning fragmented administration into a single operational system

Taxi companies are not short of work. What they lack most are systems that can handle the complexity around every ride.

Route sheets, drivers, vehicles, bookings, payments, regulatory documents, and official submissions are often managed on paper, in Excel, or across separate files. A large part of the business then depends on a few people who know where to find information and how to fix mistakes.

We designed TaxiGer to turn this pile of tasks into structured, connected, and largely automated workflows.

The starting point

TaxiGer grew out of several converging observations:

  • operational problems observed over several years at Family Cabs;
  • needs expressed directly by taxi operators;
  • the administrative and regulatory complexity of the sector;
  • existing tools that were often too complex, incomplete, or poorly suited to small and medium-sized businesses.

Before TaxiGer, the companies involved mainly worked with paper route sheets, scattered Excel files, and processes that depended on a few key employees.

The problem was therefore not simply to “digitize a document.” We needed to build a system that could support real operations, from the start of a shift through to document archiving.

The system we designed

TaxiGer centralizes the main operations of a taxi company on a single platform:

  • driver and vehicle management;
  • opening and closing route sheets;
  • creating and tracking rides;
  • planning and managing bookings;
  • payment tracking and billing preparation;
  • generating regulatory documents;
  • viewing and exporting administrative data;
  • supervising operations through an interface adapted to different roles.

Each user only steps in where human action is needed. The system stores information, applies business rules, generates documents, and keeps a coherent record of activity.

Automating regional obligations

TaxiGer was designed to work across Belgium’s three regions, each with its own requirements.

In Brussels and Wallonia, the platform notably simplifies the management of digital route sheets and related documents.

In Flanders, the driver encodes the ride in TaxiGer. The required data is then transmitted automatically to Chiron, the official Flemish platform. TaxiGer also supports the shift workflow, mileage, departures and arrivals, price, payment methods, the transport title, and closing the service status.

Creating the ride remains the driver’s action. Automation then takes over to avoid a separate second process for Chiron and regulatory documents.

A system used in real operations

TaxiGer is not a prototype. The platform is deployed with Belgian taxi companies, used daily, and sold to paying customers.

It lets drivers focus on their rides, dispatchers follow activity, administrative teams retrieve documents, and operators keep an overview of the business.

The impact

Moving to TaxiGer brings several concrete changes:

  • less paper and fewer scattered files;
  • less re-entry between operations and regulatory obligations;
  • information accessible to the right people;
  • better continuity when the employee who knows the process is away;
  • documents generated from data already recorded;
  • an activity that is easier to control and evolve.

What this project demonstrates

TaxiGer shows our ability to understand a regulated trade, turn its rules into reliable workflows, and maintain a system used every day in the field.

We did not simply add an interface on top of an existing process. We redesigned how information flows so that each action automatically feeds the next steps.
