Getting information to flow between systems, teams, and patients

In a hospital environment, automation cannot be thought of as a simple time saver.

Information must be accurate, responsibilities clearly defined, and tools able to integrate with existing clinical processes. An error or a broken workflow can affect several teams and slow down care.

Our experience at Institut Jules Bordet covered several transformation projects: system integration, data-entry automation, self-service patient check-in, billing workflow, and collaboration around medical images.

Our role

The missions combined several responsibilities:

  • analysis of existing processes;
  • gathering medical, administrative, and technical requirements;
  • direct development of internal tools;
  • modeling information exchanges;
  • coordinating internal teams and external vendors;
  • defining and running tests;
  • business validation;
  • deployment preparation and follow-up.

This combination made it possible to keep continuity between the expressed need, the system designed, and its real use.

Sub-case 1 — Integrating radiotherapy with the hospital information system

Radiotherapy teams used several specialized applications. Some information had to be entered in multiple places to keep each system up to date.

We analyzed the required exchanges and put integrations in place between the radiotherapy tools and the hospital information system.

The goal was to circulate data that was already available automatically, rather than asking teams to copy it again.

Impact: less re-entry, better consistency across applications, and less dependence on repetitive manual work.

Sub-case 2 — Smoothing check-in with self-check-in

Patient registration tied up reception teams with repetitive checks and data entry.

We developed and deployed an application that lets patients check themselves in on arrival.

The system guided the patient, verified the expected information, and passed the result into the administrative workflow.

Impact: a smoother check-in experience, fewer repetitive tasks for teams, and attention better directed to situations that need human intervention.

Sub-case 3 — Unifying workflow and billing in nuclear medicine

The nuclear medicine journey involved several departments and different user profiles. Each team stepped in at a specific stage, with its own information and validations.

We contributed to the design and delivery of a multi-user tool bringing together operational tracking and billing.

The system structured steps, responsibilities, statuses, and validations so that information followed the patient and the process without being rebuilt manually between departments.

Impact: a shared workflow, better visibility on progress, and clearer continuity between clinical activity and administrative operations.

Sub-case 4 — Connecting medical imaging tools

Images used to prepare and discuss treatments came from several specialized systems used by radiotherapy, nuclear medicine, and radiology.

We worked on integrating these tools, circulating images and related data, and supporting collaboration processes between departments.

That work covered, in particular, image use, image registration, and the transfer of information needed to prepare treatments.

Impact: better collaboration around medical images and more coherent access to the data different specialists need.

One principle behind several projects

These four sub-cases answer the same problem: useful information already exists, but it does not yet flow correctly between people, applications, and process steps.

Our work was to understand that flow, identify the breakpoints, and create the integrations or tools that can keep continuity.
